Full-service event production

We create the day people remember.

Zero Day Events designs and delivers the experience that happens the day before your conference — end to end, or alongside the team you already have.

The scope

Ten disciplines, one accountable team.

Producing a credible executive experience is a lot of unglamorous work: contracts, insurance, transfers, waivers, weather calls. We take that on so the day feels simple to everyone attending it.

Complete or partial engagement. We can manage the entire experience, or work alongside an existing conference team and own only the parts you need — sourcing, recruitment, sponsorship or on-site delivery.

  1. Experience strategy and concept development

We start with the outcome, not the activity. Who are you trying to attract, what should the day do for them, and what would make an invitation impossible to ignore? From that we shape two or three concepts with honest trade-offs on cost, capacity and risk.

  2. Venue and activity sourcing

Courses, harbors, trailheads, museums, clubs, mountains and private venues, contracted with operators we have vetted for insurance, capacity and how they treat a group of senior people.

  3. Executive attendee recruitment

A great day with the wrong twelve people is a wasted day. We build the invitation list with you, write the outreach, follow up personally and manage the waitlist so the room is right.

  4. Sponsor development

We package the experience, approach suitable sponsors, negotiate terms and set the participation rules in writing before anyone commits.

  5. Registration and communications

Registration pages, confirmations, waivers, dietary and accessibility capture, kit lists, weather updates and the day-before message that gets everyone to the right place on time.

  6. Transportation and logistics

Airport and hotel transfers, coaches, boats, permits, equipment, catering and the timing plan that holds it all together.

  7. On-site event management

Our team runs the day. Check-in, group management, host briefings, sponsor management, timing and the hundred small decisions that keep an experience feeling effortless.

  8. Photography and content support

Professional capture with clear consent, delivered as assets your conference and your sponsors can actually use afterwards.

  9. Safety, waivers and contingency planning

Risk assessments, licensed operators, medical cover where appropriate, insurance verification, and a written plan for weather, injury and cancellation.

  10. Post-event reporting

Attendance, participation, sponsor delivery, spend against budget, feedback and a clear view of what to repeat and what to change.

How we engage

Three ways to work together.

Most partnerships start with a single experience attached to one conference, then grow if it works.

01

Produced for you

We own the whole day: concept, funding model, recruitment, logistics, delivery and reporting. Your team stays focused on the main conference.

02

Produced with you

You have an events team and a plan. We take the parts that need specialist sourcing, sponsor development or on-site management.

03

Designed, then handed over

We build the concept, budget, supplier shortlist and run-of-day, then hand you a plan your own team can execute.

How it works

Five steps from first call to final report.

You focus on the conference. We create the experience that sets it up for success.

  1. Understand the audience

Seniority, interests, group size, accessibility and what the host wants the day to achieve.

  2. Design the right experience

Concept, venue, activity and season, shaped into a plan and a budget you can approve.

  3. Build the partnership and sponsor model

How the day is funded, how sponsors participate, and where the boundaries sit.

  4. Recruit and communicate with attendees

Invitations, registration, waivers and the pre-event communication that drives attendance.

  5. Deliver the complete event

On-site management, transport, safety cover, content capture and a usable post-event report.
